How to move WatEase sales and accounting data into Tally
Connecting WatEase and Tally moves GST-clean accounting vouchers between the two as a file — you export WatEase vouchers as Tally-compatible XML or XLSX and import them into Tally Prime, and you upload a Tally Prime XML export back into WatEase. It is a manual file exchange, not a live sync, because Tally runs locally and has no cloud API.
WatEase runs your WhatsApp storefront — the orders, invoices and payments your customers make in chat. This is the honest, file-based way to get that WhatsApp-channel sales data into your Tally books without re-keying tax by hand.
On export, WatEase decomposes GST correctly (CGST/SGST/IGST split) and writes the ledger masters the vouchers need, so the entries land in Tally clean. On import, WatEase reads a Tally Prime XML export you upload back.
Before you start
- A WatEase account with finance/accounting access — this feature is gated by your user role, so your login needs the finance role.
- Tally Prime installed and running on your local machine (Tally is desktop software; there is no cloud endpoint to connect to).
- Sales or purchase data already in WatEase to export — orders, invoices and payments from your WhatsApp storefront.
Step by step
- 1
Open Finance in WatEase
In WatEase, go to Dashboard → Finance. This is the accounting surface where WatEase gathers the sales, purchase, receipt, payment and journal vouchers it can hand to Tally.
If you cannot see Finance, your login likely does not have the finance/accounting role. Ask a workspace admin to grant it — access is by role, not by plan tier.
- 2
Generate a Tally export
From Finance, generate a Tally export. WatEase assembles your accounting vouchers — Sales, Purchase, Receipt, Payment and Journal — with GST decomposed into CGST/SGST/IGST, plus the ledger masters those vouchers reference.
- 3
Choose XML or XLSX
Pick the format. XML is the format Tally Prime imports directly (GET /api/v1/finance/exports/tally?format=xml). Choose XLSX (…?format=xlsx) if you want to review the vouchers in a spreadsheet first. For importing straight into Tally, choose XML.
XLSX is for review and record-keeping. Tally Prime’s Import reads the XML — use the XML file when your goal is to load the vouchers into Tally.
- 4
Download the export file
WatEase serves the file and your browser downloads it. Save it somewhere you can reach from the machine running Tally Prime — for example a shared or synced folder if Tally is on a different PC.
- 5
Import the masters and vouchers into Tally Prime
In Tally Prime, open the company you keep your books in, then go to Gateway of Tally → Import. Import the ledger masters first, then import the vouchers, selecting the WatEase XML file each time. Tally reads the file and posts the entries.
Order matters: import Masters before Vouchers. A voucher that references a ledger Tally has not created yet will be rejected. The WatEase XML includes the masters for exactly this reason.
- 6
Verify the vouchers landed with GST intact
In Tally, open Day Book or the relevant voucher registers and spot-check a few entries. Confirm the CGST/SGST/IGST amounts match, so you know the GST decomposition carried over and nothing needs manual re-keying.
- 7
Export an XML from Tally to bring data back
For the reverse direction, use Tally Prime to export the vouchers or masters you want as an XML file (Tally’s own export produces XML). Save that file where you can upload it from your browser.
- 8
Upload the Tally XML into WatEase
In WatEase, go to Dashboard → Finance → Import → "Import from Tally" (the page is /dashboard/finance/import/tally-xml, described in-product as "Upload a Tally Prime XML export"). Select your Tally XML file and upload it. WatEase reads the export and brings the data back in.
What it does
- Exports accounting vouchers — Sales, Purchase, Receipt, Payment and Journal — as Tally-compatible XML.
- Also serves the same export as XLSX, so you can review the vouchers in a spreadsheet before importing.
- Decomposes GST correctly on every voucher, splitting CGST/SGST/IGST so tax lands right in Tally.
- Writes the ledger masters the vouchers reference, so you import masters and vouchers together without re-keying tax.
- Imports a Tally Prime XML export back into WatEase via Finance → Import → "Import from Tally".
- Bidirectional at the file level: WatEase vouchers out to Tally as XML/XLSX, and Tally XML back into WatEase.
What it does not do
- NO live or real-time sync. This is a manual file export/import — Tally runs locally with no cloud API, so a file exchange is the honest and expected way to move data.
- It does NOT export stock or inventory vouchers. Only the five accounting voucher types (Sales, Purchase, Receipt, Payment, Journal) are exported — no inventory entries and no stock journal.
- It is NOT gated to a specific paid plan. Access is granted by user ROLE (finance/accounting), so there is no "Pro plan only" requirement to unlock it.
Troubleshooting
- Tally rejects the import.
- This is almost always order. Import the ledger masters first, then the vouchers — a voucher that points at a ledger Tally has not created yet fails. Also confirm you selected the XML file (not the XLSX) and that Tally has the correct company open.
- GST amounts look off after import.
- A tax ledger was not mapped, so Tally posted the voucher against the wrong ledger. Import the masters from the WatEase XML first (they carry the GST ledgers), then re-import the vouchers so CGST/SGST/IGST land against the right ledgers.
- I cannot find the Finance or Import screen in WatEase.
- The feature is role-gated. Your login needs the finance/accounting role — it is not a plan you buy, it is a role a workspace admin grants. Ask an admin to add the role, then reload the dashboard.
- Stock or inventory did not come across.
- That is expected. WatEase exports only the five accounting voucher types and never exports stock or inventory. Maintain inventory in Tally directly, or move stock through Tally’s own tools — the WatEase export is accounting vouchers only.
Frequently asked questions
- Is it real-time?
- No. It is a manual file export and import, not a live sync. Tally is desktop software with no cloud API, so you download a file from WatEase and import it into Tally, and upload a Tally XML back into WatEase when you want data to flow the other way.
- Does it export stock or inventory?
- No. It exports accounting vouchers only — Sales, Purchase, Receipt, Payment and Journal. There are no inventory entries and no stock journal in the export. Keep stock and inventory in Tally itself.
- Is there an extra WatEase charge, or do I need a specific plan?
- No extra charge and no specific paid plan. Access is granted by your user role (finance/accounting), not by a plan tier — so this is not a "Pro plan only" feature.
- XML or XLSX — which should I use?
- Use XML to import straight into Tally Prime; that is the format Tally reads. Use XLSX when you want to review the vouchers in a spreadsheet first. Both come from the same WatEase Finance export.
- How does the GST come across correctly?
- WatEase decomposes GST into CGST/SGST/IGST on each voucher and includes the ledger masters those tax lines reference. Import the masters first, then the vouchers, and the tax lands in Tally without manual re-keying.
