GST Invoice WhatsApp Templates

A GST invoice message delivers a tax-compliant invoice PDF to the customer on WhatsApp, with the taxable value, the CGST/SGST or IGST split, and both GSTINs on the document itself. For Indian B2B sellers this closes the most tedious loop in the business: buyers stop emailing "please send the GST invoice", and the whole purchase record lives in one searchable chat thread. The message delivers the invoice — it does not file anything with the GST portal.

Meta billing category

Templates on this page are typically approved as Utility, billed at ~₹0.115 per message (India).

Transactional — tied to an order, account, or appointment the customer already has. Cheapest category. Adding promotional lines risks Meta reclassifying it as Marketing at ~7.5x the cost.

Copy-ready templates

Replace the {{placeholders}} with your platform’s variables before submitting to Meta for approval.

1. GST invoice delivery

Hi {{name}}, your GST invoice from {{store_name}} is attached. 🧾 Invoice: {{invoice_id}} Date: {{invoice_date}} Taxable value: ₹{{taxable_value}} GST ({{gst_rate}}%): ₹{{gst_amount}} Total: ₹{{amount}} Our GSTIN: {{seller_gstin}} Your GSTIN: {{buyer_gstin}} Reply here if any detail needs correcting.

Best for: Every B2B sale to a GST-registered buyer, sent with the order confirmation.

2. Invoice + payment request

Hi {{name}}, invoice {{invoice_id}} from {{store_name}} is attached. 🧾 Total payable: ₹{{amount}} (incl. GST) Due: {{due_date}} Pay in one tap via UPI: {{upi_link}} We will send the receipt here as soon as it reflects.

Best for: Combining the invoice and the ask in a single message.

3. Invoice correction / revised invoice

Hi {{name}}, thank you for flagging that. 🙏 A revised invoice {{invoice_id}} is attached with the correction to {{corrected_field}}. Revised total: ₹{{amount}} Our GSTIN: {{seller_gstin}} | Your GSTIN: {{buyer_gstin}} Please discard the earlier copy. Sorry for the trouble.

Best for: Reissuing after a wrong GSTIN or HSN — fast, and it keeps the audit trail in-chat.

4. GSTIN collection (before invoicing)

Hi {{name}}, thank you for your order {{order_id}}! 🙏 Would you like a GST invoice? If yes, reply with your GSTIN and registered business name and we will raise it in that name — you can then claim input tax credit. No GSTIN needed? Just reply SKIP and we will send a regular bill.

Best for: Asking once, at checkout — retrofitting a GSTIN onto a raised invoice is painful.

5. Monthly statement of invoices

Hi {{name}}, your {{month_name}} statement from {{store_name}} is attached. 📊 Invoices raised: {{invoice_count}} Total taxable value: ₹{{taxable_value}} Total GST: ₹{{gst_amount}} Useful for your GSTR-2B reconciliation. Reply here if anything does not tally.

Best for: B2B regulars, on the 1st — makes their accountant's month easier and yours stickier.

Frequently asked questions

What must a GST invoice legally contain?

A tax invoice needs the supplier's name, address and GSTIN; a consecutive invoice number and date; the recipient's name, address and GSTIN if they are registered; the HSN code for goods or SAC code for services; the taxable value; the tax rate and amount split into CGST and SGST for an intra-state sale, or IGST for an inter-state one; and the place of supply. The WhatsApp message carries the PDF — the PDF is what has to be correct.

Can WhatsApp file my GST returns?

No, and be wary of any vendor implying otherwise. WhatsApp is a delivery channel: it puts the invoice in the customer's hands instantly and keeps it searchable in the thread. Filing happens in your accounting system or on the GST portal. What WhatsApp genuinely changes is collection speed and the volume of "please resend the invoice" messages you field.

Is sending an invoice on WhatsApp a Utility template?

Yes. An invoice relates to a transaction the customer has already made, so it is approved under Utility at roughly ₹0.115 per message in India. WhatsApp templates support a document header, which is what lets you attach the invoice PDF to the template message itself rather than sending it as a separate follow-up.
