Admission Announcement WhatsApp Templates

An admission announcement is a message telling parents and prospective students that applications are open — for which class or course, from when, and how to apply. WhatsApp beats a newspaper insert, a hoarding, or a printed circular because a parent actually reads it, and can tap through to the application form in the same minute rather than "remembering to call the office tomorrow". Send when the admission window genuinely opens, and again shortly before it closes.

Meta billing category

Templates on this page are typically approved as Marketing, billed at ~₹0.8631 per message (India).

Promotional — offers, launches, and re-engagement. Requires marketing opt-in, and an opt-out hint ("Reply STOP") is good etiquette that keeps your block rate and quality rating healthy.

1. Admissions open

Namaste {{parent_name}} 🎓 Admissions at {{institute_name}} are now open for {{academic_year}}. Classes: {{class_name}} Apply online: {{admission_link}} Last date: {{application_deadline}} Questions? Just reply here — a real person will answer. Reply STOP to opt out of these updates.

Best for: The day the window actually opens. Parents plan admissions months ahead of you.

2. Course admissions (coaching institute)

Hi {{parent_name}}, enrolment for the {{course_name}} batch at {{institute_name}} is open. Starts: {{start_date}} Timings: {{class_time}} Faculty: {{teacher_name}} Details and application: {{admission_link}} We are happy to talk through whether this batch is the right fit for {{student_name}} — reply and we will call. Reply STOP to opt out.

Best for: Batch-based coaching. Offering a "is this right for my child" conversation converts better than a hard sell.

3. Campus visit / open house invitation

Hello {{parent_name}}, you are invited to visit {{institute_name}}. 📚 Date: {{class_date}} Time: {{class_time}} Address: {{venue_address}} Meet the teachers, see the classrooms, ask anything. No form to fill and no obligation to apply. Reserve a slot: {{admission_link}} Reply STOP to opt out.

Best for: Two to three weeks before the deadline. Parents choose schools they have physically stood inside.

4. Scholarship or entrance test announcement

Hi {{parent_name}}, {{institute_name}} is holding its scholarship test for {{academic_year}}. Test date: {{exam_date}} Open to: {{class_name}} Registration is free: {{admission_link}} We cannot promise a result — but every student who sits the test is assessed on merit alone. Reply STOP to opt out.

Best for: Scholarship drives. Note the honest line: never imply a scholarship is assured.

5. Seats genuinely limited

Hi {{parent_name}}, an update on {{class_name}} admissions at {{institute_name}}. {{seats_available}} seats remain in this batch, and applications close on {{application_deadline}}. Apply: {{admission_link}} If the batch fills, we will tell you plainly rather than keep you waiting. Reply STOP to opt out.

Best for: Only when {{seats_available}} holds a real, current number. Never invent scarcity — parents talk to each other.

6. Final week to apply

Hi {{parent_name}}, applications for {{class_name}} at {{institute_name}} close on {{application_deadline}}. ⏳ If {{student_name}} is applying, this is the week to do it: {{admission_link}} Stuck on a document or a form field? Reply here and we will sort it out with you. Reply STOP to opt out.

Best for: The last week of a real deadline. Offer help with the form — that is what is actually blocking most parents.

What each variable means

These 15 placeholders appear in the templates above. Map each one to the matching field in your WhatsApp platform before you submit for approval.

VariableWhat to put in it
{{parent_name}}The parent or guardian. Messages about a minor go to them.
{{institute_name}}Your school, college, or coaching institute name.
{{academic_year}}The academic session this concerns — for example 2026-27.
{{class_name}}The class or grade this message concerns.
{{admission_link}}Replace with the admission link for this message.
{{application_deadline}}Last date to apply. Never invent it — parents check.
{{course_name}}Name of the course or programme.
{{start_date}}First day of the offer or window.
{{class_time}}Time the class runs.
{{teacher_name}}The teacher taking the class. A named teacher converts better than any claim about results.
{{student_name}}The student this message concerns.
{{class_date}}Date of the class.
{{venue_address}}Street address of the venue, as a guest would need it to find you.
{{exam_date}}Date the exam is held.
{{seats_available}}Seats genuinely left in the batch. Never fake this.

Frequently asked questions

Is an admission announcement Utility or Marketing?

Marketing, without much room for argument — the family has no existing enrolment with you, so this is promotional outreach. That means an approved Marketing template at roughly ₹0.8631 per message in India, against about ₹0.115 for Utility, a gap of roughly 7.5x. It also means you need marketing opt-in from the parent and an opt-out line in the copy. Sending admission blasts to a purchased list of parent numbers is both a Meta policy violation and, under the DPDP Act, a genuinely bad idea.

Can I say "only a few seats left" to create urgency?

Only if it is true and you can point at the number. Parents in a city compare notes constantly, and a school caught manufacturing scarcity loses the one thing an education brand cannot buy back. Bind the claim to a real inventory field, as {{seats_available}} does here, so the message is simply incapable of lying.

Should the message go to the parent or to the student?

To the parent or guardian, always, where the student is a minor. It is the parent who decides, pays, and consents — and messaging a child directly on WhatsApp about a commercial decision is a line no school should cross. For adult learners and college applicants, message the applicant directly.
