Airport Transfer Update WhatsApp Templates

An airport transfer update tells a traveller who is picking them up, in which car, and where to stand — with the driver's name, the vehicle number, and a phone number. It is a small message that carries an outsized amount of stress: a traveller in an unfamiliar arrivals hall, phone nearly dead, scanning a wall of name-boards. WhatsApp is where they can find it in one scroll, offline. Send it the moment the driver is assigned, and again when the driver is at the pickup point.

Meta billing category

Templates on this page are typically approved as Utility, billed at ~₹0.115 per message (India).

Transactional — tied to an order, account, or appointment the customer already has. Cheapest category. Adding promotional lines risks Meta reclassifying it as Marketing at ~7.5x the cost.

1. Driver assigned

Your airport pickup is confirmed, {{name}}. 🚗 Driver: {{driver_name}} Phone: {{driver_phone}} Vehicle: {{vehicle_model}}, {{cab_number}} Pickup: {{pickup_point}} at {{pickup_time}} Flight tracked: {{flight_number}} Your driver tracks the flight — if you land late, he waits. No extra charge.

Best for: A few hours before landing. Driver name, number, and vehicle number are the three fields — everything else is optional.

2. Driver on the way

{{name}}, your driver is on the way. 🚗 {{driver_name}} | {{cab_number}} Arriving at {{pickup_point}} by {{eta_time}} Call him directly: {{driver_phone}} Live location: {{tracking_link}} Take your time at baggage — he is waiting, not charging.

Best for: When the driver starts the trip to the airport. The last line removes the sprint through arrivals.

3. Driver waiting at the pickup point

{{name}}, {{driver_name}} is waiting for you. 🚗 Exactly where: {{pickup_point}} Vehicle: {{vehicle_model}}, {{cab_number}} He is holding a board with your name. Call him: {{driver_phone}} Cannot spot him? Reply HERE and we will connect you both on a call.

Best for: The moment the driver reaches the pickup point. "Exactly where" is the field every other transfer service gets vague about.

4. Flight delayed — transfer rescheduled

Hi {{name}}, we can see {{flight_number}} is delayed to {{new_departure_time}}. Your transfer is already rescheduled. No action needed, no extra charge. New pickup: {{pickup_time}} at {{pickup_point}} Driver: {{driver_name}}, {{driver_phone}} We track your flight, so we move with it. Rest on the plane.

Best for: Automatically off the flight-status feed. The traveller finding out you already handled it is the entire product.

5. Driver changed

Hi {{name}}, a change to your pickup — please note the new details. NEW driver: {{driver_name}} NEW vehicle: {{vehicle_model}}, {{cab_number}} Phone: {{driver_phone}} Pickup is unchanged: {{pickup_point}} at {{pickup_time}}. Please do not get into the earlier vehicle. For your safety, only travel with the number in this message.

Best for: Any driver reassignment. The safety line is not decoration — it is the reason this message exists.

6. Trip complete

Hope that was a smooth ride, {{name}}. 🙏 Trip: {{pickup_point}} → {{drop_point}} Driver: {{driver_name}} Fare: ₹{{amount}} ({{payment_mode}}) Receipt attached. Left something in the car? Reply within 24 hours and we can reach {{driver_name}} directly.

Best for: On drop-off. The lost-item line saves more phones and passports than you would believe.

{{vehicle_model}}Replace with the vehicle model for this message.

{{flight_number}}Flight number, as printed on the ticket.
{{eta_time}}Expected arrival time.
{{tracking_link}}Live courier tracking URL.

{{payment_mode}}How the customer paid — UPI, card, cash, or netbanking.

Frequently asked questions

What must an airport transfer message contain?

Three fields, and they are non-negotiable: the driver's name, the vehicle registration number, and a phone number that reaches the driver. A traveller in an arrivals hall is matching a car against a message, and safety depends on that match being exact. Add the precise pickup point — "Gate 5, arrivals, level 1" rather than "outside the airport" — and you have removed nearly every failure mode this message has.

Should the transfer reschedule itself when a flight is delayed?

Yes, automatically, off the flight status feed — and then tell the traveller you have done it. A passenger sitting on a delayed aircraft cannot call you, and the version of this business that makes them try is the version that gets one-star reviews. Rescheduling silently is half a product; rescheduling and sending one message that says "no action needed, no extra charge" is the whole one.

Is an airport transfer update Utility or Marketing?

Utility — it relates to a booked ride, so it costs roughly ₹0.115 per message in India against about ₹0.8631 for Marketing. You may send several of these per trip (assigned, on the way, waiting, complete) and they remain Utility throughout, which is what makes the sequence affordable to run on every single booking.
