Travel Itinerary WhatsApp Templates

A travel itinerary message is the whole trip in one chat — flights, PNRs, hotels, transfers, and day-by-day plans — delivered where the traveller can reach it without data. This is the single strongest case for WhatsApp over email in travel: a traveller standing at an immigration counter in another country, phone on airplane mode, can still scroll back to the message. Send the full itinerary on booking, then a short day-before message for each day that has something in it.

Transactional — tied to an order, account, or appointment the customer already has. Cheapest category. Adding promotional lines risks Meta reclassifying it as Marketing at ~7.5x the cost.

Best for: On booking. Attaching the PDF is the point — a link is useless to a traveller with no roaming data.

Best for: Every evening of a guided trip. One day at a time is readable; the whole itinerary re-sent daily is not.

3. Itinerary changed

Best for: Any change to a confirmed plan. Old-versus-new, side by side, and an apology that does not hide the change.

Frequently asked questions

Why send an itinerary on WhatsApp instead of email?

Because of where it gets read. An itinerary is needed at check-in counters, immigration desks, and hotel receptions — places where the traveller is often roaming, offline, or down to a sliver of battery. A WhatsApp thread stays readable without data, and the attached PDF is downloadable once and available forever. An email needs a working inbox login at exactly the moment the traveller does not have one.

Is a travel itinerary Utility or Marketing?

Utility — it relates to a trip already booked and paid for, so it is billed at roughly ₹0.115 per message in India instead of about ₹0.8631 for Marketing. Day-by-day itinerary messages during the trip stay Utility too. A "book your next trip" message after the traveller returns is Marketing, needs its own opt-in, and belongs in a separate template.
