Travel Itinerary WhatsApp Templates
A travel itinerary message is the whole trip in one chat — flights, PNRs, hotels, transfers, and day-by-day plans — delivered where the traveller can reach it without data. This is the single strongest case for WhatsApp over email in travel: a traveller standing at an immigration counter in another country, phone on airplane mode, can still scroll back to the message. Send the full itinerary on booking, then a short day-before message for each day that has something in it.
Meta billing category
Templates on this page are typically approved as Utility, billed at ~₹0.115 per message (India).
Transactional — tied to an order, account, or appointment the customer already has. Cheapest category. Adding promotional lines risks Meta reclassifying it as Marketing at ~7.5x the cost.

1. Full itinerary on booking
Your trip is booked, {{name}}. ✈️ {{trip_title}} | {{trip_start_date}} → {{trip_end_date}} Booking ref: {{booking_ref}} ✈️ Flight: {{airline_name}} {{flight_number}}, {{departure_date}} {{departure_time}} — PNR {{pnr}} 🏨 Stay: {{hotel_name}}, {{checkin_date}} → {{checkout_date}} 🚗 Transfers: arranged both ways Full day-by-day itinerary: {{itinerary_link}} PDF attached — save it, it works offline. Your trip coordinator: {{coordinator_name}}, {{coordinator_phone}}
Best for: On booking. Attaching the PDF is the point — a link is useless to a traveller with no roaming data.
2. Day-before day plan
Tomorrow, {{name}} — Day {{day_number}} of {{trip_title}} 📍 {{day_plan}} Pickup: {{pickup_time}} from {{pickup_point}} Guide: {{guide_name}}, {{guide_phone}} Carry: {{packing_list}} Sleep well. Reply here if anything needs changing.
Best for: Every evening of a guided trip. One day at a time is readable; the whole itinerary re-sent daily is not.
3. Itinerary changed
A change to your itinerary, {{name}} — please read. What changed: {{change_description}} Was: {{old_detail}} Now: {{new_detail}} Everything else in your trip is unaffected. Booking ref {{booking_ref}}. This is not what you booked, and we are sorry. Reply here and {{coordinator_name}} will call you.
Best for: Any change to a confirmed plan. Old-versus-new, side by side, and an apology that does not hide the change.
4. Documents checklist
Hi {{name}}, {{days_to_departure}} days to {{trip_title}}. Quick checklist. 📋 ✅ Passport valid until {{passport_validity_date}} ✅ {{visa_status}} ✅ Travel insurance: {{insurance_status}} ✅ Printed hotel voucher (some immigration desks still ask) Anything on this list not sorted yet? Reply and we will help — we would much rather fix it now than at the airport.
Best for: A week before an international departure. Catching an expiring passport now instead of at the check-in counter.
5. Trip starts tomorrow
It begins tomorrow, {{name}}. 🎒 {{trip_title}} Flight {{flight_number}}, departs {{departure_time}} from {{terminal}} PNR: {{pnr}} Reach the airport by: {{airport_reach_time}} Your full itinerary is in this chat — scroll up, it works without data. Anything at all, message {{coordinator_name}} on {{coordinator_phone}}. Have a wonderful trip.
Best for: The night before departure. The reminder that the itinerary already lives in this chat is worth more than any app.

Frequently asked questions
Why send an itinerary on WhatsApp instead of email?
Because of where it gets read. An itinerary is needed at check-in counters, immigration desks, and hotel receptions — places where the traveller is often roaming, offline, or down to a sliver of battery. A WhatsApp thread stays readable without data, and the attached PDF is downloadable once and available forever. An email needs a working inbox login at exactly the moment the traveller does not have one.
Is a travel itinerary Utility or Marketing?
Utility — it relates to a trip already booked and paid for, so it is billed at roughly ₹0.115 per message in India instead of about ₹0.8631 for Marketing. Day-by-day itinerary messages during the trip stay Utility too. A "book your next trip" message after the traveller returns is Marketing, needs its own opt-in, and belongs in a separate template.

- Flight Status Update WhatsApp TemplatesA flight status update is a message telling a passenger what is actually happening with their flight — on time, delayed, gate changed, or cancelled — with the new information stated first. WhatsApp is the right channel because a passenger in transit is on roaming data and will not open an email, but a WhatsApp notification lands on the lock screen and stays readable offline. The rule that decides whether this message works: lead with the new time or the new gate. Never bury it under an apology.
- Hotel Booking Confirmation WhatsApp TemplatesA hotel booking confirmation is the message that tells a guest their room is held — with the booking reference, the dates, the room type, the number of guests, and the property's phone number. WhatsApp beats email for this because a confirmation buried in an inbox is useless at a reception desk at 11 pm with no data pack; a WhatsApp thread is right there, offline, in the chat the guest already has open. Send it within seconds of the booking, and send it again the day before arrival.
- Holiday Package Offer WhatsApp TemplatesA holiday package offer is a promotional message presenting a trip — the destination, the nights, what is included, and the real price — to customers who opted in to hear from you. It is the one message in travel that is unambiguously Marketing, and it is also where most travel agencies lose trust, by inventing countdowns and "only 2 seats left" lines that are not true. Sell on the actual offer: what is included, what is not, and what it genuinely costs.
- Airport Transfer Update WhatsApp TemplatesAn airport transfer update tells a traveller who is picking them up, in which car, and where to stand — with the driver's name, the vehicle number, and a phone number. It is a small message that carries an outsized amount of stress: a traveller in an unfamiliar arrivals hall, phone nearly dead, scanning a wall of name-boards. WhatsApp is where they can find it in one scroll, offline. Send it the moment the driver is assigned, and again when the driver is at the pickup point.
