Event Invitation WhatsApp Templates
An event invitation asks someone to attend an offline event — a launch, a meetup, a conference, an exhibition — with the venue, the date, and a way to register or buy a ticket in the same message. For a physical event WhatsApp does something email cannot: the invite, the ticket, the venue address, and the payment all live in one thread the guest can pull up at the door. Send it 2–3 weeks out for anything people must travel to.
Meta billing category
Templates on this page are typically approved as Marketing, billed at ~₹0.8631 per message (India).
Promotional — offers, launches, and re-engagement. Requires marketing opt-in, and an opt-out hint ("Reply STOP") is good etiquette that keeps your block rate and quality rating healthy.

1. Straight invitation
Hi {{name}}, you are invited. 🎟️ {{event_name}} {{event_date}}, {{event_time}} {{venue_name}}, {{city}} {{event_description}} RSVP here: {{registration_link}} Reply STOP to opt out of invitations.
Best for: 2–3 weeks before an offline event, so people can actually plan travel around it.
2. Paid event — buy a ticket in chat
Hi {{name}}, tickets are open for {{event_name}}. 🎟️ {{event_date}}, {{event_time}} {{venue_name}}, {{venue_address}} Ticket: ₹{{amount}} Pay in one tap via UPI: {{upi_link}} Your ticket ID arrives here the moment payment lands — just show it at the door, no printing. Reply STOP to opt out of invitations.
Best for: Paid events. Pay-in-chat plus a ticket ID in the same thread removes every step between "interested" and "coming".
3. Invitation with the speaker line-up
Hi {{name}}, {{business_name}} is hosting {{event_name}}. 📅 {{event_date}} · {{venue_name}}, {{city}} Speaking: {{speaker_list}} Hosted by {{host_name}}. {{duration_minutes}} minutes, then everyone stays for chai and conversation. RSVP: {{registration_link}} Reply STOP to opt out of invitations.
Best for: Conferences and meetups where the line-up is the draw. Name the people — that is what makes someone block an evening.
4. Invitation to a capped event
Hi {{name}}, we are hosting {{event_name}} on {{event_date}} at {{venue_name}}. ✨ We are keeping it to {{seat_count}} people so it stays a conversation rather than a lecture. RSVP: {{registration_link}} If the room fills, we will put you on the waitlist and tell you honestly where you stand. Reply STOP to opt out of invitations.
Best for: Genuinely small-format events. The cap must be real; if the venue holds 300, do not pretend it holds 30.
5. Local invitation (nearby customers only)
Hi {{name}}, we are doing something in {{city}} and you are close by. 🙂 {{event_name}} {{event_date}}, {{event_time}} {{venue_name}} — {{venue_address}} Free to attend, but please RSVP so we know how much to order: {{registration_link}} Reply STOP to opt out of invitations.
Best for: Segmented sends to customers in the host city. Inviting someone to an event 1,500 km away is how you earn a block.
6. Final call before RSVPs close
Hi {{name}}, RSVPs for {{event_name}} close on {{registration_close_date}}. ⏳ {{event_date}}, {{event_time}} · {{venue_name}}, {{city}} We have to give the venue a headcount, so this is the last practical moment to say yes. RSVP: {{registration_link}} Reply STOP to opt out of invitations.
Best for: A few days before a real headcount deadline. The reason is true, which is why it works.

Frequently asked questions
Is an event invitation Utility or Marketing?
Marketing. You are soliciting an RSVP the person has not yet given, which makes it promotional — roughly ₹0.8631 per message in India, against about ₹0.115 for Utility. It also needs marketing opt-in and an opt-out line. Everything after they RSVP — the confirmation, the reminders, a postponement notice — is Utility, because those relate to a registration they have actually made.
How do I sell tickets for an event on WhatsApp?
Put a UPI link in the invitation, and send the ticket ID back into the same thread the moment payment settles. The guest then has the invite, the payment receipt, the venue address, and the ticket in one chat they can pull up at the door with no signal and no printing. That end-to-end loop inside a single conversation is the thing an emailed PDF ticket cannot do.
How far in advance should an offline event invitation go?
2–3 weeks for anything that requires travel or an evening away from family, and a final call a few days before the RSVP deadline. Send it only to people who could plausibly attend — segment by city. A Mumbai meetup invitation blasted to your entire national list is a block waiting to happen, and blocks damage the quality rating that governs every message you send.

- Event Reminder WhatsApp TemplatesAn event reminder tells a confirmed guest that the event is coming up, and gives them the practical things they will actually need on the day: the address, the map link, the ticket ID, and who to find at the door. Offline events fail on logistics, not enthusiasm — people do not skip because they lost interest, they skip because parking looked hard or they could not find the entrance. Send one the day before and one on the morning of, and put everything in the message.
- Webinar Invitation WhatsApp TemplatesA webinar invitation is a message asking someone to register for a live online session — naming the topic, the speaker, the date, and the one thing they will walk away knowing. WhatsApp beats email here for a blunt reason: an emailed webinar invite lands in Promotions and is read by almost nobody, while a WhatsApp invite is read within minutes and registers in two taps. Send it 7–10 days out, then once more 2 days before you close registration.
- Event Postponed WhatsApp TemplatesAn event postponement notice tells registered guests that the date has changed — and it is a trust moment, not an admin task. The rules are simple and almost universally broken: lead with the new date, apologise plainly without excuses, say what happens to their existing ticket automatically, and give them a way out. Send it the moment the decision is made. A guest who finds out from someone else, or who turns up at the venue, is a guest you have lost for good.
- UPI Payment Request WhatsApp TemplatesA UPI payment request is a WhatsApp message that asks a customer to pay a specific amount and carries a tap-to-pay UPI link, so the payment happens inside the chat in seconds. It is the fastest way an Indian business gets paid: no invoice email, no bank details typed by hand, no "send me your QR" back-and-forth. Send it the moment an amount becomes payable, and pair it with an automatic receipt when the money lands.
