Event Reminder WhatsApp Templates
An event reminder tells a confirmed guest that the event is coming up, and gives them the practical things they will actually need on the day: the address, the map link, the ticket ID, and who to find at the door. Offline events fail on logistics, not enthusiasm — people do not skip because they lost interest, they skip because parking looked hard or they could not find the entrance. Send one the day before and one on the morning of, and put everything in the message.
Meta billing category
Templates on this page are typically approved as Utility, billed at ~₹0.115 per message (India).
Transactional — tied to an order, account, or appointment the customer already has. Cheapest category. Adding promotional lines risks Meta reclassifying it as Marketing at ~7.5x the cost.

1. One day before
Hi {{name}}, {{event_name}} is tomorrow. 📅 {{event_date}}, doors open {{event_time}} {{venue_name}}, {{venue_address}} Map: {{map_link}} Your ticket: {{ticket_id}} — just show this message at the door. See you there.
Best for: The evening before. Ticket ID and map link in one message means the guest needs nothing else on the day.
2. Morning of the event
Today is the day, {{name}}. 🎟️ {{event_name}} Doors open {{event_time}} at {{venue_name}} Map: {{map_link}} Ticket: {{ticket_id}} Running late or not going to make it? Reply here — we would rather know than hold a seat empty.
Best for: Morning of. Asking for a heads-up on drop-outs gives you a real headcount for catering and the waitlist.
3. Getting-there details
Hi {{name}}, a few practical notes for {{event_name}} tomorrow. 🚗 📍 {{venue_name}}, {{venue_address}} 🗺️ Map: {{map_link}} 🚉 Nearest metro: {{transit_note}} 🅿️ Parking: {{parking_note}} Look for {{host_name}} at the entrance — they have the list. Ticket: {{ticket_id}}
Best for: Any venue that is even slightly hard to find. Parking and transit notes prevent more no-shows than a reminder ever will.
4. Starting in an hour
{{name}}, {{event_name}} starts in an hour. ⏳ {{venue_name}} — {{map_link}} Ticket: {{ticket_id}} If you are on your way, no need to reply. If you are stuck, tell us and we will hold your seat.
Best for: T-minus 60 minutes, for local guests still deciding whether to leave the house.
5. Waitlist seat released
Good news {{name}} — a seat has opened up for {{event_name}}. 🎟️ {{event_date}}, {{event_time}} · {{venue_name}} It is yours if you want it. Reply YES within {{hold_hours}} hours and we will confirm your ticket; after that it goes to the next person on the list.
Best for: When a confirmed guest drops out. A short, honest hold window is what makes a waitlist actually work.
What each variable means
These 12 placeholders appear in the templates above. Map each one to the matching field in your WhatsApp platform before you submit for approval.
| Variable | What to put in it |
|---|---|
{{name}} | The customer's first name. |
{{event_name}} | Name of the event, launch, or meetup. |
{{event_date}} | Date of the event. |
{{event_time}} | Start time of the event. Always state the timezone (IST) alongside it. |
{{venue_name}} | Name of the venue. |
{{venue_address}} | Street address of the venue, as a guest would need it to find you. |
{{map_link}} | Map or directions link. On the day, this is the thing people need most. |
{{ticket_id}} | The ticket reference the guest shows at the door. Send it the moment payment settles. |
{{transit_note}} | Replace with the transit note for this message. |
{{parking_note}} | The parking situation, in one line. Prevents more no-shows than a reminder does. |
{{host_name}} | The person hosting — and the human a guest should look for at the door. |
{{hold_hours}} | Replace with the hold hours for this message. |
Frequently asked questions
What must an offline event reminder actually contain?
The address, a map link, the start time, and the ticket ID — in the message itself, not behind a link. On the day, a guest is on their phone, possibly with poor signal, standing outside a building trying to work out which entrance is theirs. Everything they need should be in one WhatsApp message they can pull up with a thumb, which is precisely what an emailed PDF ticket is not.
Is an event reminder Utility or Marketing?
Utility. The guest has registered or bought a ticket, so the reminder relates to an existing commitment — roughly ₹0.115 per message in India against about ₹0.8631 for Marketing, a ~7.5x difference. Keep it logistical. Slipping a "and book early for next year!" line into a reminder is what gets a template reclassified, and it is the wrong message at the wrong moment anyway.

- Event Invitation WhatsApp TemplatesAn event invitation asks someone to attend an offline event — a launch, a meetup, a conference, an exhibition — with the venue, the date, and a way to register or buy a ticket in the same message. For a physical event WhatsApp does something email cannot: the invite, the ticket, the venue address, and the payment all live in one thread the guest can pull up at the door. Send it 2–3 weeks out for anything people must travel to.
- Event Postponed WhatsApp TemplatesAn event postponement notice tells registered guests that the date has changed — and it is a trust moment, not an admin task. The rules are simple and almost universally broken: lead with the new date, apologise plainly without excuses, say what happens to their existing ticket automatically, and give them a way out. Send it the moment the decision is made. A guest who finds out from someone else, or who turns up at the venue, is a guest you have lost for good.
- Post-Event Feedback WhatsApp TemplatesA post-event feedback message asks an attendee what they thought — and the version that works asks exactly ONE question, answerable with a single tap, not a seven-field survey nobody opens. WhatsApp is the right channel because the reply is one character and it lands with you privately, which means a disappointed attendee tells you rather than the internet. Send it within a few hours, while the event is still fresh, and route anything below a 4 straight to a human.
- Webinar Reminder WhatsApp TemplatesA webinar reminder is a message sent to someone who has already registered, telling them the session is coming up and giving them the join link so they can be in the room in one tap. Show-up rate — not registrations — is the entire game, and email reminders lose it: they land in Promotions and go unread precisely when they matter most. The ladder that works is four rungs — on registration, 1 day before, 1 hour before, and 10 minutes before — and the 10-minute message is the one most teams never send.
