Hospital Bill Payment WhatsApp Templates

A hospital bill payment message tells a patient what is due, against which bill, and gives them a UPI link so they can clear it from the chat instead of queueing at a billing counter. It is a Utility message about a bill the patient already owes, and it must never restate what the treatment was — the invoice reference is enough. Send the bill on discharge, a reminder a few days before the due date, and a receipt the moment payment lands.

Meta billing category

Templates on this page are typically approved as Utility, billed at ~₹0.115 per message (India).

Transactional — tied to an order, account, or appointment the customer already has. Cheapest category. Adding promotional lines risks Meta reclassifying it as Marketing at ~7.5x the cost.

Copy-ready templates

Replace the {{placeholders}} with your platform’s variables before submitting to Meta for approval.

1. Bill ready on discharge

Hello {{patient_name}}, your bill from {{clinic_name}} is ready. 🧾 Bill: {{invoice_id}} Total: ₹{{amount}} Due by: {{due_date}} The itemised bill is attached. Pay in one tap: {{upi_link}} Something look wrong? Reply here and our billing team will check it.

Best for: Discharge day. The itemised breakdown goes in the attachment, never in the body — the line items are the treatment.

2. Payment reminder before due date

Hello {{patient_name}}, a gentle reminder from {{clinic_name}}. Bill {{invoice_id}} for ₹{{amount}} is due on {{due_date}}. Pay via UPI: {{upi_link}} Card or net banking: {{payment_link}} Already paid? Please ignore this — and thank you.

Best for: 3 days before the due date. Most on-time payments come from this one message.

3. Insurance settled — balance payable

Hello {{patient_name}}, an update on bill {{invoice_id}}. {{insurer_name}} has settled ₹{{advance_amount}}. The claim status is: {{claim_status}}. Balance payable by you: ₹{{balance_amount}} Pay here: {{upi_link}} If you are disputing the settled amount with your insurer, reply and we will hold this.

Best for: The day the cashless claim settles. Patients almost always expect the insurer to cover more than it did — say the number plainly and offer to wait.

4. Advance for a planned admission

Hello {{patient_name}}, your admission at {{clinic_name}} is scheduled for {{appointment_date}}. Admission advance: ₹{{advance_amount}} Pay before you arrive and skip the counter entirely: {{upi_link}} Bring your ID and insurance card. Anything urgent, call {{clinic_phone}}.

Best for: Planned procedures, 2 days ahead. Paying the advance in advance removes the worst thirty minutes of the patient experience.

5. Payment received — receipt

Payment received, {{patient_name}}. ✅ ₹{{amount}} against bill {{invoice_id}}, on {{payment_date}}. Nothing further is due. Your receipt is attached — you will need it for an insurance reimbursement claim, so keep it somewhere safe. Thank you. 🙏

Best for: Instantly on payment. The nudge to keep the receipt for reimbursement saves a support call three weeks later.

Frequently asked questions

Is a hospital bill message Utility or Marketing?

Utility, without question. It concerns a bill the patient already owes for treatment they already received, so it is approved at roughly ₹0.115 per message in India rather than about ₹0.8631 for a Marketing template — roughly a 7.5x difference. There is no version of this message that should carry a promotion, and adding one would be tone-deaf as well as expensive.

Can the itemised bill be attached to a WhatsApp message?

Yes — WhatsApp templates support a document header, so the PDF rides along with the message. Do it: keep the total in the visible body and every line item in the attachment, because the line items name the procedures and the drugs. Password-protecting the PDF with a scheme the patient already knows is worth the small friction for any inpatient bill.

Why put a UPI link in a hospital bill?

Because the alternative is a queue at a billing counter, usually at the exact moment a family least wants to stand in one. A UPI deep link lets them clear the bill from the discharge lounge in about ten seconds, and it settles to you the same day. For outstanding dues it also converts far better than a follow-up call, which patients simply stop answering.
