Webinar Registration Confirmation WhatsApp Templates
A webinar registration confirmation is the message you send the instant someone signs up, confirming their seat and — critically — giving them the join link and a calendar entry right there in the chat. It is the first rung of the reminder ladder, and it is the message that quietly decides whether the join link is findable at 4:59pm on the day. Send it within seconds of the form submit, automatically, and never make the registrant go back to their email for the link.
Meta billing category
Templates on this page are typically approved as Utility, billed at ~₹0.115 per message (India).
Transactional — tied to an order, account, or appointment the customer already has. Cheapest category. Adding promotional lines risks Meta reclassifying it as Marketing at ~7.5x the cost.

Replace the {{placeholders}} with your platform’s variables before submitting to Meta for approval.
1. Registered — seat confirmed
You are registered, {{name}}. ✅ {{webinar_title}} With {{speaker_name}} {{event_date}} at {{event_time}} IST · {{duration_minutes}} minutes Join link (save this): {{join_link}} Add to your calendar: {{calendar_link}} We will remind you here on the day. Nothing else to do.
Best for: Fired off the registration webhook, within seconds. The join link belongs here, not only in an email.
2. Confirmed with a "what to bring"
Seat confirmed, {{name}}. ✅ {{webinar_title}} · {{event_date}}, {{event_time}} IST Join link: {{join_link}} Calendar: {{calendar_link}} To get the most out of it, come with: {{prep_note}} Have a question you want {{speaker_name}} to answer live? Reply here and we will put it on the list.
Best for: Workshops and hands-on sessions. Collecting questions at registration gives the speaker a real Q&A instead of silence.
3. Paid workshop — payment received, seat held
Payment received, {{name}}. Your seat is confirmed. 🎟️ {{webinar_title}} {{event_date}}, {{event_time}} IST Amount paid: ₹{{amount}} Seat reference: {{ticket_id}} Join link: {{join_link}} Calendar: {{calendar_link}} Your receipt is attached. See you there.
Best for: The moment a paid registration settles. Attaching the receipt kills the "did my payment go through?" message before it is sent.
4. Registered, but payment pending
Hi {{name}}, your place on {{webinar_title}} is held but not yet confirmed — the fee of ₹{{amount}} is still pending. Pay in one tap via UPI: {{upi_link}} We can hold the seat until {{cutoff_date}}, after which it goes to the next person on the list. No hard feelings either way.
Best for: Paid sessions where someone registered but did not pay. Say the hold deadline plainly — it converts, and it is honest.
5. Waitlisted
Hi {{name}}, {{webinar_title}} on {{event_date}} is full, so you are on the waitlist. 📋 You are number {{waitlist_position}} in the queue. If a seat opens we will message you here immediately, with the join link. Either way, we will send you the recording after the session — so you are not going to miss the content.
Best for: Genuinely capped sessions. Promising the recording removes the sting and keeps a warm lead warm.
What each variable means
These 14 placeholders appear in the templates above. Map each one to the matching field in your WhatsApp platform before you submit for approval.
| Variable | What to put in it |
|---|---|
{{name}} | The customer's first name. |
{{webinar_title}} | Title of the online session, exactly as it appears on the registration page. |
{{speaker_name}} | The person presenting. Naming them is what makes someone block an evening. |
{{event_date}} | Date of the event. |
{{event_time}} | Start time of the event. Always state the timezone (IST) alongside it. |
{{duration_minutes}} | How long the session runs, in minutes. |
{{join_link}} | The link that puts someone in the online room. Put it in every reminder; never leave it only in an email. |
{{calendar_link}} | One-tap "add to calendar" link. |
{{prep_note}} | Replace with the prep note for this message. |
{{amount}} | Total amount in rupees, without the ₹ symbol (the template adds it). |
{{ticket_id}} | The ticket reference the guest shows at the door. Send it the moment payment settles. |
{{upi_link}} | UPI deep link or gateway-hosted payment page. Generate one free at watease.com/tools/upi-payment-link-generator. |
{{cutoff_date}} | Date after which an unconfirmed order is auto-cancelled. |
{{waitlist_position}} | Replace with the waitlist position for this message. |
Frequently asked questions
Is a registration confirmation Utility or Marketing?
Utility. The person has already registered, so the message relates to something they actively did — roughly ₹0.115 per message in India, against about ₹0.8631 for Marketing, a ~7.5x difference. Keep it strictly about their registration. Bolting "and here is our pricing page" onto a confirmation is exactly the kind of thing that gets a template reclassified as Marketing, and it makes the cheapest message in your funnel one of the most expensive.
Should the join link really go in the confirmation, or only in the reminder?
Both. Put it in the confirmation so the registrant has it from day one, and repeat it in every reminder so they never have to go looking. The most common way to lose an attendee is to make them search their inbox at 4:59pm for a link buried in a five-day-old email — and by the time they find it, they have decided it was not that important.

- Webinar Reminder WhatsApp TemplatesA webinar reminder is a message sent to someone who has already registered, telling them the session is coming up and giving them the join link so they can be in the room in one tap. Show-up rate — not registrations — is the entire game, and email reminders lose it: they land in Promotions and go unread precisely when they matter most. The ladder that works is four rungs — on registration, 1 day before, 1 hour before, and 10 minutes before — and the 10-minute message is the one most teams never send.
- Webinar Replay WhatsApp TemplatesA webinar replay message sends the recording to the people who registered — and it should go to two audiences with two different messages: those who attended, and those who did not. The no-show version is the one that gets wasted. Someone who registered and then missed it has already told you they are interested, and a recording link that lands the same day is a genuine second bite. Send both within 24 hours, while the topic is still live in their head.
- Webinar Invitation WhatsApp TemplatesA webinar invitation is a message asking someone to register for a live online session — naming the topic, the speaker, the date, and the one thing they will walk away knowing. WhatsApp beats email here for a blunt reason: an emailed webinar invite lands in Promotions and is read by almost nobody, while a WhatsApp invite is read within minutes and registers in two taps. Send it 7–10 days out, then once more 2 days before you close registration.
- UPI Payment Request WhatsApp TemplatesA UPI payment request is a WhatsApp message that asks a customer to pay a specific amount and carries a tap-to-pay UPI link, so the payment happens inside the chat in seconds. It is the fastest way an Indian business gets paid: no invoice email, no bank details typed by hand, no "send me your QR" back-and-forth. Send it the moment an amount becomes payable, and pair it with an automatic receipt when the money lands.
