Webinar Replay WhatsApp Templates
A webinar replay message sends the recording to the people who registered — and it should go to two audiences with two different messages: those who attended, and those who did not. The no-show version is the one that gets wasted. Someone who registered and then missed it has already told you they are interested, and a recording link that lands the same day is a genuine second bite. Send both within 24 hours, while the topic is still live in their head.
Meta billing category
Templates on this page are typically approved as Utility, billed at ~₹0.115 per message (India).
Transactional — tied to an order, account, or appointment the customer already has. Cheapest category. Adding promotional lines risks Meta reclassifying it as Marketing at ~7.5x the cost.

1. Replay for attendees
Thank you for joining, {{name}}. 🙏 The recording of {{webinar_title}} is here: {{replay_link}} {{resource_note}} If {{speaker_name}} did not get to your question, reply here — we will answer it properly rather than pretend we did.
Best for: Within a few hours of the session ending, to everyone who actually turned up.
2. Replay for no-shows — the second bite
Hi {{name}}, you registered for {{webinar_title}} but we did not see you — life happens. 🙂 Here is the full recording: {{replay_link}} If you are short on time, the part most people found useful starts at {{key_moment}}. Any questions, just reply. A real person reads this.
Best for: Same day, to registrants who did not attend. This is the highest-intent list you have and most hosts never message it.
3. Replay with a viewing window
Hi {{name}}, the recording of {{webinar_title}} is ready: {{replay_link}} It is available until {{replay_expiry_date}}, after which we take it down. {{duration_minutes}} minutes, and the slides are attached if you would rather skim.
Best for: Sessions with a genuine expiry on the recording. Only say it comes down if it actually does.
4. Replay + the resources you promised
As promised, {{name}} — everything from {{webinar_title}}: 📎 Recording: {{replay_link}} Slides and templates: {{resource_link}} {{speaker_name}} referenced a few things in passing; they are all in the resource pack. Thank you for spending an hour with us.
Best for: Whenever the speaker promised "I will share this afterwards". Delivering on that promise is most of your credibility.
5. Replay + the next session
Hi {{name}}, the recording of {{webinar_title}} is here: {{replay_link}} Our next one is {{next_webinar_title}} with {{speaker_name}}, on {{event_date}} at {{event_time}} IST. Register if it is useful to you: {{registration_link}} No hard sell — the recording is yours either way.
Best for: Attendees only, and only when the next session genuinely follows on. Keep the pitch to one line or the template drifts into Marketing.

Frequently asked questions
Should no-shows get the recording?
Yes, and they should get a different message from the attendees. A no-show registered — they raised their hand and then something got in the way. A same-day recording link, with a pointer to the most useful few minutes, converts a meaningful share of them into people who actually consume the content. Sending both groups an identical "thanks for attending!" is the small, careless error that wastes the warmest list in the whole funnel.
Is a replay message Utility or Marketing?
Utility, as long as it goes to people who registered and it is about the session they registered for — roughly ₹0.115 per message in India rather than about ₹0.8631. Sending the recording to a cold list that never registered is Marketing, and it needs marketing opt-in. The line is the registration, not the content.
Can I promote the next webinar inside the replay message?
One line, at the end, after you have delivered what you promised — and only for attendees, where the follow-on is genuinely relevant. Lead with the recording, always. A replay message that is mostly a pitch for the next session teaches people that your follow-ups are advertising, and the next one goes unread.

- Webinar Reminder WhatsApp TemplatesA webinar reminder is a message sent to someone who has already registered, telling them the session is coming up and giving them the join link so they can be in the room in one tap. Show-up rate — not registrations — is the entire game, and email reminders lose it: they land in Promotions and go unread precisely when they matter most. The ladder that works is four rungs — on registration, 1 day before, 1 hour before, and 10 minutes before — and the 10-minute message is the one most teams never send.
- Post-Event Feedback WhatsApp TemplatesA post-event feedback message asks an attendee what they thought — and the version that works asks exactly ONE question, answerable with a single tap, not a seven-field survey nobody opens. WhatsApp is the right channel because the reply is one character and it lands with you privately, which means a disappointed attendee tells you rather than the internet. Send it within a few hours, while the event is still fresh, and route anything below a 4 straight to a human.
- Webinar Registration Confirmation WhatsApp TemplatesA webinar registration confirmation is the message you send the instant someone signs up, confirming their seat and — critically — giving them the join link and a calendar entry right there in the chat. It is the first rung of the reminder ladder, and it is the message that quietly decides whether the join link is findable at 4:59pm on the day. Send it within seconds of the form submit, automatically, and never make the registrant go back to their email for the link.
- Product Launch WhatsApp TemplatesA product launch message announces something new to opted-in customers, with an image, the price, and a link to buy. WhatsApp suits launches better than email because the message is seen within minutes rather than hours, which is what makes limited drops and first-batch pre-orders actually work. Warm your best customers up first, then go wide.
