Attendance Alert WhatsApp Templates

An attendance alert tells a parent that their child was not in class today, or that their attendance has slipped over a period. Its purpose is safety and care, not enforcement: a parent who believes their child left for school has an urgent right to know that the child never arrived, and WhatsApp is the only channel fast enough to matter. Send the same day, always to the parent, and always opening with concern — "is everything alright?" is the correct first sentence, not "your child is bunking".

1. Absent today — open with concern

If {{student_name}} is unwell, please do not worry about the class — we will help catch up. If you were expecting {{student_name}} to be here, please call us at once on {{official_phone}}.

Best for: Same day, within an hour of the register. That last line is a safeguarding line, and it is the reason this message exists.

2. Absent for several days

Dear {{parent_name}}, we have not seen {{student_name}} in class for {{days_absent}} days. We are not writing to complain — we are writing because we would like to know if everything is alright at home, and whether there is anything we can do. Reply here, or call {{official_phone}}. {{teacher_name}} is happy to talk whenever suits you.

Best for: A run of absences. Ask before you assume; the answer is usually illness, money, or a child in trouble.

3. Monthly attendance summary

Dear {{parent_name}}, {{student_name}}'s attendance summary for {{month_name}} at {{institute_name}}. Classes held: {{classes_held}} Attended: {{classes_attended}} Attendance: {{attendance_percent}}% Shared for your information only. If any absence is marked wrongly, reply and we will correct the register.

Best for: Month-end, to every parent. Inviting a correction is what keeps the register honest.

4. Attendance below the required level

Dear {{parent_name}}, {{student_name}}'s attendance in {{subject_name}} is currently {{attendance_percent}}%, against the {{required_percent}}% the board requires to sit the exam. We are flagging this early, while there is still plenty of time to make it up. If something is making it hard for {{student_name}} to attend, tell us — we will work around it if we can.

Best for: Well before any eligibility cutoff. Early and factual, so the family has room to act — never a threat.

5. Left early / did not reach class

Dear {{parent_name}}, {{student_name}} was marked present at the gate but did not reach the {{class_time}} {{subject_name}} class today. We wanted you to know straight away rather than at the end of the day. Please call {{official_phone}} if this is unexpected.

Best for: Present-at-gate, absent-in-class. This is a safety message first and a discipline message a distant second.

6. Back in class — welcome back

Dear {{parent_name}}, {{student_name}} was back in class today. 🙂 {{teacher_name}} has shared the notes from the missed sessions, and {{student_name}} is welcome to stay back after {{class_time}} for any catch-up help. Glad to have them back.

Best for: The day a student returns from a long absence. Closing the loop warmly is what makes the first alert land as care.

Frequently asked questions

Is an attendance alert Utility or Marketing?

Utility. It relates directly to an enrolment the family already holds, so it is billed at roughly ₹0.115 per message in India rather than the roughly ₹0.8631 Marketing rate, a gap of about 7.5x. Given that most schools send these daily across hundreds of parents, the category difference here is not academic — it is the difference between an affordable system and an unaffordable one.

Should the first absence message accuse the student of skipping class?

Never. You do not yet know why the child is absent, and the overwhelmingly likely answers are illness, a family emergency, or something the child is struggling with — none of which are improved by an accusation landing on their parent's phone. Open with "is everything alright?". If a pattern later emerges, that is a conversation with a human being, not a template.

Can attendance alerts go to a class WhatsApp group?

No. An absence is information about one child and belongs in one thread, with that child's parent. Naming absentees in a group of forty parents is a small public humiliation delivered daily, and it teaches every family that your school will discuss their child in front of an audience.
