Site Visit Reminder WhatsApp Templates

A site-visit reminder is the message that gets a booked buyer to actually turn up — sent the evening before and again on the morning of the visit, with the time, the agent, and a maps pin. No-shows are the real operational problem of Indian real estate sales: most people who miss a site visit did not change their mind, they simply forgot, or they could not find the gate. WhatsApp fixes both, because the pin is tappable and the message is still sitting in their thread on Sunday morning. The flow that works is booking, then a day-before reminder, then a location pin on the day.

Meta billing category

Templates on this page are typically approved as Utility, billed at ~₹0.115 per message (India).

Transactional — tied to an order, account, or appointment the customer already has. Cheapest category. Adding promotional lines risks Meta reclassifying it as Marketing at ~7.5x the cost.

1. Day-before reminder

Hi {{name}}, a quick reminder — your site visit to {{project_name}} is tomorrow. Date: {{visit_date}} Time: {{visit_time}} 📍 {{location_link}} {{agent_name}} will meet you at the sales office — {{agent_phone}}. Still on? Reply YES. If tomorrow no longer works, reply and we will move it.

Best for: The evening before the visit — most no-shows are people who simply forgot they had booked.

2. Morning of the visit — the pin

Good morning {{name}} — see you at {{visit_time}} today. 🏠 📍 Gate location (tap to navigate): {{location_link}} The site is off {{landmark}}, in {{locality}}. Ask the security desk for {{agent_name}}. Carry an ID — the site gate will ask for it. Any trouble finding us: {{agent_phone}}

Best for: The morning of the visit. Half the no-shows are people who could not find an unmarked site.

3. One hour to go

Hi {{name}}, {{agent_name}} here — I am at {{project_name}} and ready for you at {{visit_time}}. 📍 {{location_link}} Running late? No problem at all, just reply and I will wait.

Best for: An hour ahead. It also gives a delayed buyer a graceful way to say so instead of ghosting.

4. No reply — soft nudge

Hi {{name}}, we have a slot held for you at {{project_name}} on {{visit_date}} at {{visit_time}}. Just reply YES to keep it, or NO and we will free it up for someone else — no hard feelings either way. — {{agent_name}}

Best for: A silent buyer 24 hours out. It recovers the slot instead of an agent waiting for nobody.

5. Missed visit — rebook

Hi {{name}}, we missed you at {{project_name}} on {{visit_date}} — hope everything is alright. The {{property_type}} you wanted to see is still available. Shall I hold a slot this weekend? Reply with a day that suits you. — {{agent_name}}, {{agent_phone}}

Best for: The day after a no-show. Ask once, warmly. A missed visit is rarely a lost buyer.

Frequently asked questions

Is a site visit reminder Utility or Marketing?

Utility. It refers to an appointment the buyer has already booked with you, which is exactly what Meta approves under Utility — roughly ₹0.115 per message in India, versus about ₹0.8631 for a Marketing template, a difference of roughly 7.5x. Keep the reminder about the visit. Slipping a "and here are three other projects" line into it turns a ₹0.115 message into a ₹0.8631 one and reads as pushy on the morning of a visit.

How many reminders should I send before a site visit?

Two is the working number: one the evening before, one on the morning of the visit with the location pin. A third, an hour out from the agent personally, is worth it for high-value slots. Beyond that you are nagging, and a buyer who blocks you can no longer be reached at all — which damages the WhatsApp quality rating that governs your messaging limits across every lead you have.

What actually causes site-visit no-shows?

Two things, overwhelmingly, and neither is a change of heart. The buyer forgot — a slot agreed on Tuesday for Sunday is genuinely easy to lose — or they could not find the site, because an under-construction project frequently has no map presence and a gate that is nowhere near its postal address. A day-before reminder solves the first and a tappable pin solves the second, which is why the templates above are built around exactly those two.
